The following privacy notice applies to booking onto Warwickshire County Council’s Heritage and Environment events. It should be read in addition to the council’s overall Customer Privacy Notice.
- Purpose for processing

We collect your information to process your event booking and record your attendance at one of our events. We will use the information collected to:
- reserve your place at an event
- contact you about the event where necessary (for example to inform you of a cancellation or amendment to the event)
- collect payment for the event
- record your attendance at an event
- collect your feedback in respect of an event
- respond to any queries you have in relation to the event

Our lawful basis for processing this personal information is:
- Contract
- Consent – for the purposes of feedback only
- Who we may share your information with

We use Eventbrite website to enable you to book on to our events online and to collect payment on our behalf if booked through their website. We also use Eventbrite to record event attendee lists, including service-users who have booked in person – not directly through Eventbrite.
Eventbrite provide us with:
- your name
- details of the event you have booked
- confirmation of payment
We do not receive your payment details or billing address from them.
Eventbrite may also use your personal information for their own purposes and there are circumstances when they may share your information with other third parties in accordance with their privacy policy.
Eventbrite process data outside of the EEA and as such are signed up to the EU-US Privacy Shield. For further details please see Eventbrite’ Privacy Policy and Privacy Shield Notice.
We will not pass it onto any other parties unless required to do so by law or in all reasonable circumstances the disclosure is fair and warranted for the purposes of processing or subject to a legal data protection exemption. I.e. to prevent crime.
- How long we will hold your information

Attendee lists are kept for 12 months after an event has taken place.
Financial information will be kept for 6 years from the date of the event.
Eventbrite retain your personal information in accordance with their privacy policy as above.
Please note: all stated retention periods will be subject to any legal holds imposed under the Inquiries Act 2005 that may concern the information and override standard retention.

You are entitled to a copy of, or a description of, the personal data we hold that relates to you, subject to lawful restrictions. More information on how to access your personal information.

Please note: you do not have a right to object if the personal information has been provided under contract.
We do not use Automated Decision Making or Profiling in regards to event booking.
